To further strengthen and support our constantly growing team, we are looking for a qualified and committed team member as the role of Executive Assistant to join our team.

Executive Assistant to CEO / directors (50% to 80%)

 

In the role of Executive Assistant, you will be working directly with the CEO and the senior directors with scheduling, communication, event planning, coordination and other interesting projects specific to the renewable energy industry. The ideal candidate for this role should have outstanding attention to detail, good computer skills, an innovative mindset and enjoy working in a fast-paced multinational environment.

Your responsibilities:

  • Providing day-to-day administrative support to CEO and senior directors.
  • Maintaining schedules and actively guiding leaders throughout the day to ensure preparation for upcoming meetings and events.
  • Scheduling travel, events, meetings, planning itineraries and coordinating logistics for executives, associates with the marketing team.
  • Attending applicable external/internal department meetings and taking minutes if needed.
  • Coordinate between the global offices and travel abroad if needed.
  • Coordinate department activities and events (locally and globally) and lead planning for corporate activities across departments.
  • Plan meetings with internal teams and external customers and partners; scheduling/calendaring.
  • Manage global travel and expense processing for executives in coordination with the accounting department.
  • Exercise discretion in handling information of a confidential and sensitive nature.
  • Coordinate with and respond to various sources in a timely manner.
  • Prepare and edit basic business documents and presentations to support the business with marketing department.

Your qualifications:

  • Bachelor’s degree (BA or BS) with five years of professional experience supporting a senior executive.
  • Good knowledge of German and English.
  • Strong written and verbal communication skills.
  • Proficient in business programs and tools such as Microsoft Office programs, especially Word, Excel, and PowerPoint, SharePoint, Teams, Zoom and other collaboration platforms.
  • Ability to represent the brand and the company on an international level.
  • Excellent interpersonal skills requiring the courtesy, tact, and diplomacy necessary to effectively communicate with staff, customers, visitors, and other stakeholders.
  • Ability to prioritize competing requests and demonstrate flexibility to address evolving business needs.
  • Able to work well independently; demonstrates good judgment.
